Part-Time Remote Administrative Assistant
About the Role:
We are seeking a highly organized, proactive, and detail-oriented Part-Time Remote Administrative Assistant to provide comprehensive administrative and clerical support. The ideal candidate will be a self-starter with excellent communication skills and the ability to work independently in a remote environment. This role is crucial for ensuring the smooth and efficient operation of our daily administrative tasks.
Responsibilities:
- Calendar and Schedule Management: Manage and coordinate calendars for executives and team members, including scheduling and rescheduling meetings, appointments, and deadlines across multiple time zones.
- Email Management: Filter, prioritize, and respond to emails, and draft professional correspondence on behalf of others.
- Document and Data Management: Prepare, edit, and proofread documents, presentations, and reports. Maintain and update digital filing systems and databases, ensuring all information is accurate and easily accessible.
- Communication & Support: Serve as a primary point of contact for internal and external inquiries, directing them to the appropriate person or department. Assist with customer service inquiries via email, live chat, or phone as needed.
- Meeting Coordination: Prepare meeting agendas, take detailed notes, and distribute meeting summaries and action items.
- General Administrative Tasks: Perform various administrative tasks such as data entry, conducting online research, and assisting with light bookkeeping, invoicing, and expense tracking.
Qualifications & Skills:
- Proven experience as an administrative assistant, virtual assistant, or in a similar administrative role.
- Excellent written and verbal communication skills.
- Strong organizational and time-management skills with the ability to multitask and prioritize effectively.
- Proficiency in Microsoft Office Suite (Word, Excel, PowerPoint, Outlook) and Google Workspace (Docs, Sheets, Slides, Calendar, Gmail).
- Familiarity with virtual communication and collaboration tools such as Zoom, Slack, and project management software like Trello or Asana.
- High school diploma or equivalent; additional qualifications or certifications are a plus.
- Ability to work with a high degree of confidentiality and professionalism.
- A reliable internet connection and a dedicated home office setup.
